Event Management Positions

The Event Management staff handles all facility reservations and scheduling for the Campus Recreation Department, including all internal, club sports, RSOs, departments, and outside groups. The staff is responsible for setup and teardown for all events, communicating with the event representative(s), and monitoring the activity(s) & safety of participants.

Entry Level Positions

Event Management Assistant

Job Summary 

The Event Management staff handles all facility reservations and scheduling for the Campus Recreation Department, including all internal, club sports, RSOs, departments, and outside groups. The staff is responsible for setup and teardown for all events, communicating with the event representative(s), and monitoring the activity(s) & safety of participants.

Duties and Responsibilities

Event Management Assistant 

  • Responsible for completing tasks related to daily event schedule. 
  • Coordinate all event setup based on predetermined event layout including the setup of tables, chairs, A/V equipment, recreational equipment, staging, and other equipment as needed. 
  • Responsible for removal of rental equipment and restoring all activity space to original condition upon event conclusion. 
  • Perform light cleaning of rental equipment and activity space if needed. 
  •     Maintain rental equipment inventory. 

Promotional Opportunities

Event Manager 

  • Oversee events held at Campus Recreation facilities, specifically, ARC and CRCE. 
  • Assist outside vendors with needs including facility access, setup requests, etc. 
  • Communicate with outside groups throughout shift regarding event operations. 
  • Provide onsite assistance with audio/visual equipment. 
  • Communicate with other Campus Recreation staff involved with events such as facility management, lifeguards, adventure recreation or building service worker staff. 
  • Fulfill the duties of Event Management Assistants as needed. 
  • Lead the Event Management staff on setup and teardown shifts. 
  • Assist with Event Management Assistant and other staff training. 
  • Supervise staff shadow shifts, teaching proper Event Management staff procedures. 
  • This is a security-sensitive position and requires completion of a background check before work may begin. 

Events Program Assistants 

  • Assist with scheduling of events and facility setup design. 
  • Communicate with event contacts regarding preparation needs, reservation concerns, and teardown. 
  • Create reports pertaining to different aspects of Event Services events and feedback. 
  • Assess facility and equipment usage for invoicing purposes. 
  • Schedule and coordinate Event Management staff for events. 
  • Conduct follow-up surveys/assessments after events. 
  • Attend all Late Night Dance events and assist with logistics and oversight of the evening. 
  • Fulfill the duties of Event Mangers and Event management Assistants as needed. 
  • Serve as a liaison between the professional and student staff. 
  • Assist with the interview and hiring/promotion process for the Event Management staff. 
  • Create, implement, and lead staff training programs. 
  • Assist in reviewing administrative paperwork relevant to employee certifications and payroll. 
  • This is a security-sensitive position and requires completion of a background check before work may begin. 

Qualifications

  • Must have experience working in recreational sports programs and/or special events. Experience supervising part-time employees preferred.  
  • Must have/be in progress of attaining a Bachelor’s degree. 

Minimum Work Requirements

  • Position requires flexible work schedule, including evenings, weekends, and occasionally portions of academic break periods. 
  • Position requires an average of __ hours/week at a rate of $14.50/hour from August 12, 2024 – May 16, 2025. Summer hours available prior to August 12, 2024 and after May 16, 2025 if interested.
